This portal is designed to help you successfully submit the required forms to work at our Grelen properties: The Market at Grelen, Boxwood Villa, The Grelen Depot, and Spotswood Lodge. Here, you’ll find instructions for what needs to be submitted, how to fill out each form correctly, and where to send them. Please follow the directions carefully to ensure everything is received and approved on time. Thanks for helping us keep things running smoothly!
Important: All vendors/individuals providing services at a Grelen property are required to submit a Certificate of Insurance (COI) and sign our liability waiver forms. This applies to all paid vendors, regardless of how long you’ll be on-site. These documents are mandatory and must be submitted no later than 14 days prior to the event.

Planners/Coordinators: Liability Waiver, COI, Planner/Caterer Agreement
Caterers: Liability Waiver, COI, Planner/Caterer Agreement, ABC License (if applicable)
DJ's/Bands/Musicians: Liability Waiver, COI, Sound Agreement
All Other: Liability Waiver, COI

Sign Our Liability Waiver
Our liability waiver must be signed annually and applies to all four Grelen properties: The Market at Grelen, Boxwood Villa, The Grelen Depot, and Spotswood Lodge. If you’ll be working with us again next season, we recommend setting a reminder to revisit this form at the start of the year. When the time comes, you can simply follow the link to submit your signature—it’s quick, easy, and helps us stay organized as we continue working together.

Submit Your COI
Just like the liability waiver, a current Certificate of Insurance (COI) is required to work at any Grelen property. This document must be up to date, so please make a note of its expiration date and plan to send us an updated version when the time comes.
Depending on which Grelen property you’re working at, different "additionally insured" language may be required. If you're unsure how to list this correctly, please refer to our Additionally Insured COI Guide for assistance.

Caterer/Planner Agreement
Our Planner & Caterer Agreement must be signed annually and applies to all four Grelen properties: The Market at Grelen, Boxwood Villa, The Grelen Depot, and Spotswood Lodge. If you’ll be working with us again next season, we recommend setting a reminder to review and complete this form at the start of the year. When it’s time, you can simply follow the link to submit your signature—it's a quick and easy way to ensure we’re aligned and ready for a smooth season ahead.
PLANNERS, COORDINATORS, AND CATERERS
Sound Agreement
Our Sound Agreement must be signed annually and applies to all four Grelen properties: The Market at Grelen, Boxwood Villa, The Grelen Depot, and Spotswood Lodge. If you’ll be performing at one of our venues again next season, we recommend setting a reminder to review and complete this form at the start of the year. When the time comes, you can easily submit your signature by following the link—it’s a quick and important step to help ensure a smooth and respectful event experience for all.
DJ'S, BANDS, MUSICIANS, AND ENTERTAINMENT
Submit Your ABC License
If you will be serving alcohol at a Grelen property using your company’s ABC license, please upload a copy of that license using this form.
